Microsoft Just Made Copilot Permanent for Small Business — What to Check Before Your Next Renewal

If your small business runs on Microsoft 365 something changed on July 1, 2026 that affects what you pay at your next renewal. Microsoft officially made two new plans permanent: Microsoft 365 Business Standard with Copilot at $23.50 per user per month and Microsoft 365 Business Premium with Copilot at $32 per user per month.

Until now Copilot was either a separate add-on at $30 per user per month or available through short-term promotional pricing. Copilot is now built directly into these business plans not an optional extra you decide on separately.

What Copilot Actually Does for a Small Office

In plain English, Copilot is an AI assistant built into the Microsoft tools your team already uses every day. In Teams it automatically takes meeting notes and summarizes action items so nobody has to type them up afterward. In Outlook, it drafts email responses and summarizes long threads. In Word, it generates first drafts from a prompt. In Excel, it analyzes data and answers questions about your numbers without formulas.

For a small office those are real time savings if your team actually uses them. That is the honest catch Microsoft is not advertising loudly. Only about 3.3% of Microsoft’s 450 million commercial subscribers are actively using paid Copilot seats and most businesses that have access are not using it effectively yet.

What to Do Before Your Next Renewal

First, look at your current Microsoft 365 plan and whether you are already paying for a Copilot add-on separately. If so calculate whether switching to the bundled plan saves money. Second, check whether your team actually has Copilot turned on and whether anyone has been trained to use it. Buying access and not using it is the most common mistake. Third, the real work before enabling Copilot broadly is making sure your Microsoft 365 environment is ready for it meaning your SharePoint permissions, your file organization, and your data governance are clean enough that Copilot can actually access the right information.
